Privacy Notice

This notice explains what personal data Shortfolios ("we", "us") collects, why, and what rights you have. We collect as little as possible and never sell your data.

We never see your card details. Payments are handled by Paddle.com Market Ltd, which acts as merchant of record and processes payment information under its own privacy policy.

1. Building a portfolio on our site is private

When you try the builder on our homepage, everything runs in your own browser. The video and image files you drop in are previewed locally on your device and are not uploaded to us or anyone else. Nothing is sent anywhere until you choose to place an order.

We do not use your data for advertising and we do not sell it.

4. Published information

Your portfolio is a public web page. Everything you choose to put on it — your name, role, links, and videos — is publicly visible by design. Please only include information you are happy to publish.

If you ask us to show a video hosted on YouTube, the portfolio uses YouTube's privacy-enhanced embedded player and links to the original video. Loading or playing that video connects the visitor to YouTube, which may receive technical information such as the visitor's IP address, browser, and referring page under Google's own privacy terms. Shortfolios does not request or store YouTube view, like, or comment counts for portfolio embeds.

6. International transfers

We operate from Ukraine and use service providers located in the EU, UK, and US. Where data is transferred internationally, we rely on our providers' standard contractual clauses and equivalent safeguards.

Depending on where you live, you may have the right to access, correct, delete, restrict, or object to our use of your data, to receive a copy in portable form, and to withdraw consent. To exercise any of these, email us — we respond within 30 days.

If you are in the EU/EEA or UK, you also have the right to complain to your local data protection authority.

9. Cookies and analytics

We use DataFast to understand which marketing channels bring visitors and completed purchases to Shortfolios. DataFast sets first-party visitor and session identifiers; when you open Paddle checkout, those identifiers are included with the transaction so a completed payment can be attributed to the visit that led to it. They do not contain your card details. Our hosting and payment providers may also set cookies required for the site and checkout to function.

We use reputable providers, HTTPS across our site, and limit access to order data to those who need it. No method of transmission or storage is completely secure, so we cannot guarantee absolute security.

Our service is not directed at people under 16, and we do not knowingly collect their data.

12. Editor workspace & accounts

If you create a Shortfolios workspace account, you sign in with your email using a one-time code (no password). We use your email to identify your account and to recognise a plan you already bought with the same address. Your saved items (channel lists, analysis reports) are private to your account. You can delete any item, or close your account, at any time from the account page — deletions take effect immediately in our live systems, and residual backup copies age out within 24 hours. Closing your account removes your saved items; purchase and billing records are kept as required for accounting.

13. Analysis tools & your video drafts

The pre-upload video evaluator analyses your draft in your browser — the video itself is never uploaded to us. Only sampled still frames and audio statistics derived from it are sent for scoring, and they are processed by our AI provider (Anthropic) and discarded immediately after the analysis; we do not store them. We keep the resulting report until you delete it. See Anthropic's terms for how they handle data sent to their API.

14. Data from public sources (YouTube)

The channel finder and diagnostic use the official YouTube Data API to look up public channel information (names, public descriptions, public statistics). We do not scrape private data. Any contact email a tool shows is one already published in a channel's public description; we detect it, we do not verify it, and how you use it is your responsibility.

The finder can optionally use your own YouTube API key if you choose to add one on your account page. If you do, we store it encrypted, use it only to run your own searches, never show it back to you or anyone else, and delete it immediately when you remove it. Adding a key is entirely optional — without one, the finder simply uses our shared key.

Temporary prospect previews

We may create an unlisted portfolio preview for a potential client. Before hosting any clips, we confirm that we have permission to use them for that exact preview. Anyone with the random link can view it, so it should not contain confidential material. Preview pages and media are marked not to be indexed by search engines.

A preview is normally active for 14 days and never more than 30 days at a time. When it expires or is taken offline, we may keep its working files for up to 30 days so it can be restored. After permanent removal, we delete its configuration and media while retaining a minimal deletion record for up to 90 days. A person shown in a preview may request earlier deletion at client@shortfolios.com.

If the prospect later purchases Shortfolios, we may copy the approved preview design and prepared media into the paid portfolio. The paid portfolio then has its own independent files and lifecycle.
